Fleet Management:
Web and Mobile Platform

A centralized fleet management and vehicle servicing platform connecting aggregator administrators, corporate fleet owners, and service workshops through role-based web portals and two dedicated mobile apps.

The
Challenge

Aggregators managing corporate vehicle fleets across multiple cities had no centralized system connecting fleet owners, service workshops, and internal administrators. Bookings, estimate approvals, and billing were scattered across phone calls, spreadsheets, and paper job cards — making it nearly impossible to track a vehicle's servicing status in real time or reconcile billing accurately across dozens of workshops and corporate clients at once.

Fleet owners had no visibility into where their vehicle was in the servicing process, and workshops had no structured way to submit estimates or manage a growing queue of jobs efficiently.

Furthermore, the solution required mobility. Service center mechanics working on the garage floor and fleet drivers constantly on the move could not rely on desktop web portals. They needed robust mobile applications that could handle media uploads, real-time push notifications, and complex status tracking seamlessly on the go.

Finally, data security and system reliability were major concerns. With sensitive corporate client data spread across unsecured spreadsheets and disjointed legacy systems, the aggregator faced constant risks of data loss and compliance violations during audits.

What stood in the way
  • No Central System

Owners, workshops and admins working across scattered tools

  • Zero Service Visibility

Fleet owners could not see where a vehicle was

  • Desk-Bound Tools

Mechanics and drivers cannot work from a desktop portal

  • Data At Risk

Corporate client data spread across unsecured spreadsheets

The
Solution

Web platform

Toadster built a centralized web platform featuring two role-based portals. The Admin Portal gives aggregator staff full control over clients, workshops, bookings, billing, and access tiers. The Client Portal provides fleet owners a dedicated space to manage their vehicles, service history, and approvals. Built with React, TypeScript, and Vite, the frontend leverages Redux Toolkit and TanStack Query for state management, while a Python FastAPI backend powers the dense operational data tables.

Mobile apps

Two React Native Expo apps cover the vehicle servicing lifecycle. The Fleet App allows client teams to create bookings, upload media, and approve workshop estimates with full visibility into job status. The Workshop App empowers service centers to receive bookings, adjust catalog services, set pricing, and manage their queue. Both apps support offline-first capabilities and walk-in customer job cards.

Delivered Impact

Fleet owners, workshops, and aggregator admins now operate on one connected system covering the full journey — booking, estimation, client approval, servicing, and completion or invoicing — with real-time status tracking replacing phone calls and spreadsheets, and workshops handling a higher volume of jobs through a structured digital queue instead of paper job cards.

Frequently asked Questions

Common questions about the Fleet Management Platform

Through role-based portals and apps sharing a common backend — aggregator admins get centralized oversight, fleet owners get a client portal and mobile app for bookings, and workshops get a dedicated app for managing estimates and job completion, all synced in real time.

A fleet user books a service by selecting a vehicle and workshop, the workshop reviews vehicle details and submits an estimate, the fleet user approves or rejects it, the workshop performs pickup and service, and on completion an invoice is generated — with every stage tracked and visible to both sides.

Expo and React Native let a single codebase power both the Fleet and Workshop apps efficiently, with built-in tooling for camera/media capture, secure storage, push notifications, and streamlined Android build pipelines — well suited for operational apps that need to ship and iterate quickly.

Through distinct access tiers — sub-admins, city admins, city coordinators on the aggregator side, and separate client and workshop-level permissions — ensuring each user only sees and acts on the data relevant to their role.

Yes — a well-designed workshop app supports both bookings that originate from the fleet app and job cards created directly by the workshop for walk-in or registered clients, keeping all servicing records in one system regardless of how the job originated.

Through a shared backend API where every status change — assigned, pending estimation, quote review, in progress, completed — updates instantly across both the web portals and mobile apps, so every stakeholder sees the same real-time status.
